CitaFlow is an all-in-one platform for appointment management. In all plans you have an online booking system with your own website and widgets you can embed in your existing site. Your customers choose service, professional and available time and the appointment is created instantly. In the Voice Go and Voice Pro plans we add the optional phone function: when a customer calls, our voice assistant answers 24/7, collects the appointment data and schedules it automatically. If they prefer, customers can leave a voice message or be transferred to your phone. Everything is configured without code from your panel and you can activate or deactivate telephony whenever you want.

No, CitaFlow is designed to be extremely easy to use. Our guided setup process lets you be operational in less than 15 minutes. Simply connect your calendar, customize some preferences and your assistant will be ready to answer calls. For more advanced customizations, we offer an intuitive interface without the need for programming.

In our first launch, CitaFlow is completely available in Spanish and is compatible with all Spanish-speaking countries. This includes both the user interface and the intelligent voice assistant that answers calls.

CitaFlow automatically sends your bookings to: • Google Calendar through direct integration • Any calendar that supports iCalendar (Apple, Outlook, mobile devices, etc.) through our iCal feed The flow is unidirectional (from CitaFlow to your calendar) to ensure you never lose your customer data. We also offer a public iCal feed to display availability in other tools.

Our assistant is trained to handle various situations, but in exceptional cases where it can't understand the customer after several attempts, it can offer alternatives: leave a voice message that will be transcribed and sent to you immediately, transfer the call to a backup number you've configured, or suggest other contact methods like text message or email.

Yes. You have a panel with real-time metrics on web appointments, calls answered by AI, conversion rates, peak hours, estimated revenue and much more. Additionally, we automatically analyze call transcriptions so you can see at what point the appointment was booked or where an opportunity was lost. We also include analytics for your website generated in CitaFlow (traffic, widget clicks, etc.) and you can export any report to CSV/Excel.

When an appointment is created we send the customer confirmation via WhatsApp/SMS and email with a unique link to modify or cancel the booking in seconds from their mobile. You can also do it from the panel. All calendars (voice and web) share the same real-time availability, so there will never be conflicts.

If you register during the launch phase you secure the lifetime pricing of the plan you choose (Starter, Voice Go or Voice Pro). You'll maintain that price as long as your subscription remains active.

Yes, you can upgrade your plan whenever you want. If you have the Starter Plan, you keep the lifetime pricing if you decide to return to it later. Changes are applied immediately and you only pay the prorated difference.

You only pay for what exceeds your plan at fixed and transparent prices (AI €0.42/min, Non-AI €0.05/min, WhatsApp/SMS €0.03/msg). Usage is deducted from a prepaid balance that you top up automatically with the amount you choose (€5, €20, €50, €100…). You'll receive alerts when your balance drops so the service is never interrupted.
