Do I need to connect each team member's Google Calendar if they each use their own?

1 min read

Yes: every calendar you want CitaFlow to take into account has to be added and assigned to its professional. If you only use one, CitaFlow can’t see what the others put in their calendars and may offer those times.

Everything is done from a single Google account, the one you connect in CitaFlow: each business connects one account, so team members don’t connect their own.

How to set it up

  1. Ask each professional to share their Google calendar with the account you have connected. If you also want their CitaFlow appointments to show in their calendar, they need to give you permission to make changes to events; otherwise it shows as “Read only” and only blocks time.
  2. Go to Settings → Integrations → Calendars and, on the Google Calendar card, click the gear icon.
  3. Under “Calendars”, tick “Use” on each professional’s calendar. If one isn’t listed, enter its ID in “ID of a calendar shared with you” (in Google Calendar: calendar settings → Integrate calendar) and click “Add”.
  4. In “Professional or resource”, assign each calendar to its professional. Each professional can only have one calendar.
  5. In “Direction”, choose “Google → CitaFlow (events block time slots)” or “Both directions”.
  6. Accept the privacy notice and click “Save calendars”.

Appointments of professionals without their own calendar go to the “Whole business” calendar.

The calendar doesn’t replace working hours

Google only marks what is busy. If each person works different hours, set that up in My Business → Hours, “Individual Schedules” tab, turning on “Individual Schedules by Resource”.
