What's the difference between deleting, cancelling and moving an appointment?

1 min read

Cancelling keeps the appointment on the agenda as cancelled and notifies the customer; deleting removes it entirely without notifying them; moving or editing changes it without creating a new one.

Cancel

Open the appointment and pick the “Cancelled” status. If the appointment has a phone or email, the customer gets the cancellation notice through their usual channels, pending reminders are dropped and the appointment stays on the agenda as cancelled. If the appointment had already started, cancelling it notifies nobody.

Undo it with “Reactivate”: the customer gets the confirmation again and reminders are scheduled again.

Delete

Only the business owner can use “Delete Appointment”. It removes the appointment entirely, without notifying the customer, together with its reminders, its management link and its history. It cannot be undone.

Move or edit

With “Edit Appointment” you change the appointment’s details without deleting it. If you drag the appointment to another slot on the agenda, when you drop it you choose “Save and notify” or “Save without notifying”. Without notifying, the customer doesn’t learn about the time change: only use it if they already know another way.

Which one to use

  • The customer changes the day or time: move the appointment and choose “Save and notify”.
  • The appointment won’t happen: cancel.
  • The appointment should never have existed (a duplicate, a test, an appointment booked for the wrong person): delete.

If the customer already received the confirmation, don’t delete it: they would keep that message as valid, get no reminder, and show up. Note: creating an appointment with a phone number sends the new-appointment notice right away, so even a two-minute-old mistake is cancelled, not deleted.
