Connect CitaFlow to your WhatsApp Business without losing your mobile app

What is this?

You can connect your WhatsApp Business App number to CitaFlow without losing access to the mobile app. You keep using the app as usual, and CitaFlow also receives and responds to messages automatically with AI. Messages are synchronised between both platforms. (Meta internally calls this method "Coexistence"; we explain it here in plain terms.)

Step-by-step connection process

1

Start the connection from CitaFlow

In your dashboard go to Chatbot > Channels > WhatsApp, click «Connect Account» and choose «Connect existing WhatsApp Business App». Type your app's number in international format and click «Continue».

Meta's window opens. Review the introduction and click «Continue» to accept Meta's terms.

2

Enter your app's number (even though it says "new")

On the screen to add your WhatsApp phone number, keep the option to enter a new phone number selected, choose your country code and type the number you use in the WhatsApp Business app. Click «Next».

Meta no longer shows a separate option to connect the app: it recognises on its own that the number is on WhatsApp Business and switches to this mode.

Important: type exactly the number that is active in the WhatsApp Business app on your phone. Don't pick the virtual-number option or a number from the list: you would connect a different number, not your app.
3

Check your profile and pick your business portfolio

Meta shows your WhatsApp Business account profile so you can check it's yours. Then, under Business portfolio, choose your business's portfolio and click «Next».

Important: if you don't have a business portfolio, Meta lets you create one in this step. Your business name will appear on your WhatsApp Business profile.
4

Confirm your account details

Review the WhatsApp Business account name and the timezone. Make sure the timezone is your business's so appointments are handled correctly, then continue to the end.

5

Confirm on your phone

When Meta tells you to, open the WhatsApp Business app on your phone. You will receive a message from the official Facebook Business account. Follow these steps in the app:

  1. Tap «Connect» in the received message
  2. Tap «Connect to Business Platform»
  3. Tap «Confirm» to share chat history (optional)
  4. Paste the verification code shown on screen
Important: keep the WhatsApp Business app open during the process so your contacts and history sync. WhatsApp will unlink WhatsApp Web and your other linked devices; you can link them again afterwards. You need version 2.24.17 or later of the app.
6

Connection complete

Once verified, your number will appear as «Connected» in your CitaFlow dashboard. CitaFlow will start syncing your contacts and, if you allowed it, your message history.

To check your number's status, open Meta WhatsApp Manager:

  1. Go to business.facebook.com > WhatsApp Manager > Phone numbers
  2. Select your business portfolio from the dropdown at the top
  3. Check that your number shows status «Connected» and quality «High»
Note: account name approval may take a few minutes. As long as the status is «Connected», you can already receive and send messages through CitaFlow.

What gets synchronised?

This table shows which features are synchronised between the WhatsApp Business app and CitaFlow after enabling this connection:

  • Messages sent from the app remain free. Only messages sent via the CitaFlow API incur a cost.
  • Maximum throughput with this connection mode is 20 messages per second.
  • To disconnect, go to WhatsApp Business App > Settings > Account > Business Platform > Disconnect account.
