How do I give my employees access, and what permissions do they get?
In CitaFlow, you can create team logins and limit what each person can see based on their role. This is useful when you want employees to manage bookings and payments without accessing the full business setup.
What you need to create staff access
In most cases, you only need an email address for each employee. Once the account is created:
- The employee can use reset password.
- They choose their own password.
- They log in to their panel with the assigned permissions.
What employee accounts usually can access
In a basic setup, staff typically have access to:
- Booking calendar
- Payments / checkout
- Their day-to-day operational tools
They usually do not have access to:
- Global business settings
- Service structure and full configuration
- Advanced settings
- Integrations or full admin control
What the administrator can do
The admin account can:
- Add or remove users
- Change permissions
- Review multiple branches
- Manage the overall setup
How employees get started
A practical way to activate employee access is:
- Create the user with their email.
- Send them the password reset link.
- Ask them to set their password.
- Let them start by exploring calendar and payments.
Can employees see their own transactions?
Yes—depending on the setup, employees can review their own operations to check whether they correctly registered a service or payment during the day.
Recommendation
Before going live with the whole team:
- Create staff accounts in advance.
- Ask each employee to log in once.
- Confirm they only see what they need.
- Adjust permissions before the first real day of use.
This reduces errors and makes system adoption much smoother for the business.
