How does employee time tracking work in CitaFlow?

CitaFlow includes time tracking so your employees can log their workday and you can supervise it from the admin account.

What employees can do

From their own accounts, employees can record real-time actions such as:

  • clock in
  • break start
  • break end / return
  • clock out

They can also review their own hours and, depending on the setup, download them.

What the administrator can do

The admin account can:

  • view the whole team’s records
  • correct a punch if someone makes a mistake
  • add a manual adjustment with a reason

Why corrections are logged

When the administrator edits a time entry:

  • the original record is not simply erased
  • the change is logged
  • a reason is attached
  • the employee may be notified so they can confirm or dispute it

This helps meet audit-trail expectations for timekeeping compliance.

What employees cannot do

Employees generally cannot freely edit past punches. They can log their time in real time, but later corrections should go through supervision.

How to get started

  1. Create employee accounts.
  2. Enable time-tracking access if needed.
  3. Ask the team to start clocking in from their CitaFlow account.
  4. Review records from the admin view.

Recommendation

If you previously used another clock-in app, train the team before switching it off. The transition is much easier if everyone runs a simple clock-in and clock-out test on the first day.

In short: employees log their time, and the administrator retains supervisory control with a full audit trail for corrections.
